The Short Version: FieldLedger strictly isolates your company's financial data. We do not sell your data, and via our enterprise agreements, your receipt images are strictly prohibited from being used to train third-party AI models.

This Privacy Policy explains how 42DIGITAL ("we", "us", or "our") handles your information when you use the FieldLedger mobile application and web portal (the "Service"). We built this platform for construction professionals, and our core philosophy is simple: your financial ledgers and receipts belong to you.

1. How We Store Your Data (Cloud Infrastructure)

All data you input into FieldLedger—including receipt images, vendor names, line items, and project codes—is securely transmitted and stored in our isolated cloud database infrastructure. We utilize strict Row Level Security (RLS) policies to ensure that field workers and finance managers can only access data within their explicitly authorized corporate or personal workspaces.

2. How the AI Receipt Scanner Works

When you choose to scan a receipt using our AI functionality, the following automated process occurs:

  • The receipt image is compressed locally on your device.
  • The compressed image is sent securely via an encrypted connection to our proxy Edge Functions.
  • The Edge Function securely forwards the image to our AI provider (OpenAI) to perform Optical Character Recognition (OCR) and categorize the line items against your custom cost codes.
  • Strict Privacy Enforcement: Via our enterprise API agreement, OpenAI is strictly prohibited from retaining your receipt images or using your financial data to train their machine learning models. The image is processed in memory and immediately discarded by the AI provider.

3. Device Permissions

The FieldLedger mobile app requests the following device permissions to function properly:

  • Camera: Required to take live photos of your hardware and material receipts in the field.
  • Photo Library: Required if you choose to select existing receipt images or screenshots from your camera roll.

You may revoke these permissions at any time in your device's settings, though this will prevent the app from capturing new expenses.

4. Analytics and Crash Reporting

To improve the Service's stability, we may collect anonymous, aggregated crash reports (e.g., what type of device crashed and on what screen). These reports never contain your receipt data, financial information, or personal identifiers.
